Position: Office Manager

Duties: Organise and manage the smooth running of the shared office of the Free State Symphony Orchestra non-profit company (FSSO) and the Odeion String Quartet (OSQ) and provide managerial and administrative support to the heads of the FSSO and OSQ. Oversee, monitor, coordinate and manage the FSSO part-time office staff to ensure their efficient and effective operation within the context of deadlines as well as evening and weekend performances or events of the FSSO. Implement the FSSO and OSQ year plans with regard to organising rehearsals, concerts and other musiceducational events with a small team of part-time staff responsible for financial administration
Requirements: A bachelor’s degree or tertiary diploma at NQF level 7 in management or administration or music or a related discipline. Two (2) to three (3) years' relevant work experience in management. Willingness and ability to work as part of a team that promotes the love of music, the development of a new generation of musicians and excellence in performance. Knowledge of the classical-music orchestral and chamber-music work environment in South Africa. Proven strategic and managerial skills and experience in an office or corporate environment. Solid computer skills, including MS Office, the internet and cell phone communication apps. Ability to work independently, take decisions and produce results with a small team of part-time staff. Ability to deal with high-intensity work under deadline pressure. Ability to deal with stakeholders, e.g. professional orchestra members, students and learners; teachers, Musicon and university staff, business and government representatives, patrons and donors, audience members. Good writing skills. Good people skills. Confident and independent, self-motivated and a self-starter. Results oriented and forward thinking. Conscientious and a clear sense of accountability. Oversee marketing and communication strategies and projects (including audience development, communication with patrons and corporate donors, and social events) supported by the relevant staff and service providers. Participate in discussions regarding strategic planning and general management; educational and concert planning; audience development, marketing and communication, fundraising, human resource management. Provide meeting management services (agendas, minutes, etc.) or oversee such functions by a staff member; attend relevant meetings of the FSSO and OSQ management and governance bodies. Oversee and ensure general office functions such as receiving visitors and dealing with inquiries from the public, staff and stakeholders, routine administration, and overseeing office equipment. Liaise with- and maintain good relations with stakeholders such as UFS administrative departments; the Odeion School of Music; the Musicon, schools and teachers; government departments/institutions and service providers. Undertake and oversee other administrative and management duties and tasks as may be assigned by the heads of the FSSO and the OSQ.
